Pick Item — Operator Guide
1. What this screen is for
Pick Item is the one-SKU-at-a-time version of picking. You set the job once, then scan SKU, type quantity, save; scan the next SKU, quantity, save. The job stays on screen between saves, so it suits counter work, service trucks and anything where you are grabbing a couple of items rather than walking a whole BOM.
Same rules and same pick session as Pick List — you can start here and finish there. Saving never posts anything to QuickBooks; posting happens on Pick Review & Posting.
Two versions:
- Pick Item — handheld: one item at a time, plus a short Saved this session list of the last five.
- Pick Item Full Screen — PC: a small grid where you can type several SKU + qty rows and tap Save all, plus an unlimited Saved this session table.
2. Who is allowed in
Level 2 and up can enter and save. Level 3 sees the item but no Save. Posting is not on this screen at all — that is Admin / Level 1 on Pick Review.
3. Setting the job (it sticks)
Type the RO #, FP or BT job number, or part of the customer name and tap Go. A dropdown suggests matching Requirements Orders as you type; the last row is always Search QB jobs for "…", which switches the dropdown to QuickBooks customer:job names for an issue with no RO.
Once a job is set it is remembered on this device for up to three days, so every save comes back to the same job instead of asking again. Change RO / customer clears it and, if you had entered no quantities, throws the half-open pick away. Menu on the handheld does the same and takes you back to the handheld menu — use it when you are finished with a job so the next person does not inherit it.
If the remembered RO has gone missing you get RO … not found and the job is cleared. On a direct issue whose session was posted or discarded you get That direct-issue session is no longer open — find the job again.
4. Class
The class is shown in the job bar (Class Service, etc.). It is read off the job where possible; failing that, on a direct issue, the class you last issued against is carried forward. When nothing could be worked out the strip turns red and asks you to choose one — Set class. No line saves without a class, on an RO or a direct issue: you get Set the class for this RO first. or Set the class for this job first. until one is set. Change class is available any time and applies to the whole pick, RO or not.
5. Issuing one item
- Scan or type the SKU in Scan or type SKU and tap Go.
- What comes back depends on the SKU:
- On the job's BOM — you get description, UOM, bin (or Gen-Loc if it has no bin), Qty Req'd (what is still owed), Qty OH, and Already saved … this session if you touched it earlier.
- Not on the BOM but a real IM2 item — the card says Not on this order's BOM and offers the same box as a substitution/addition. Saving adds it to the pick as a new line.
- Not in IM2 at all — SKU not found in IM2 either — check it and try again. Nothing can be issued for it; it needs creating on Create New Inventory Item first.
- If you accidentally re-submit the RO number into the SKU box you get That's the RO # — this box wants a SKU. rather than a false "not found".
- Type the quantity and tap Save. The screen clears back to the SKU box for the next item and the line appears in Saved this session.
Quantity rules are the same everywhere:
- 0 drops the requirement for that line — you must confirm it.
- Negative (use ±) is a return to stock.
- More than IM2's on-hand gives That is more than IM2 qty on hand … Save anyway? — a warning, not a block.
- Saving the same SKU again replaces the quantity you saved for it in this pick, it does not add to it.
6. The PC grid (Pick Item Full Screen)
Type a SKU in a row and tab out: description, UOM, bin/Gen-Loc, Qty Req'd and Qty OH fill in. A SKU that is on the job's BOM lands on that BOM line; anything else is flagged as an addition. Fill quantities on as many rows as you like and tap Save all — the whole grid goes in one go and is all or nothing: if any row is bad, nothing at all is saved, the bad rows are flagged, and you fix them and save again. × removes a row before saving.
7. Common mistakes
- Not checking the job bar. The job is sticky by design; after a break, confirm the customer name on screen before you start scanning.
- Assuming a second save adds to the first. It replaces it.
- Using 0 to mean "skip". 0 cancels the rest of that requirement. To skip, just do not save the line.
- Waiting for the stock to move. Nothing moves until the pick is posted from Pick Review.
- Trying to post from here. There is no Post button on Pick Item, by design.
The Menu link
Every handheld screen has a small Menu link at the top right. It takes you back to the handheld menu and forgets the job the scanner was last used on, so the next person starts clean. Use it when you finish a job rather than handing the scanner over on a live screen. Nothing you have already saved is lost.
