Permissions
This screen decides who can do what in IM2, by access level. Get to it from the Settings screen — the Open Permissions button at the top. Admins only.
Nothing here is code: you tick a box and it is in effect. That's the point — you don't need a programmer to let Level 2 edit min/max, or to stop Level 1 posting counts.
How to use it
- Find the row you want (an action, or an item field).
- Tick the box under the access level that should be allowed; untick to take it away.
- It saves as soon as you click — you'll see Saved. at the bottom of the field table. If it couldn't save, the tick pops back to where it was and you get a plain reason.
People see the change within a minute, or as soon as they load their next screen. Nobody has to sign out and back in.
Every tick and untick is written to the change history, with your name on it.
The two tables
Actions — what each level may run. One row per job in the app: create a new item, push new items to QuickBooks, spreadsheet upload, record a count, post counts, run the ABC report, write ABC codes onto items, view RO screens, edit RO lines, pick and return, post picks, and set or clear a Rush R priority. Each row carries a one-line note saying what it really controls — read it, some of them move inventory.
Item fields — what each level may edit on the grid. One row per field on Item Maintenance: bins, general location, manufacturer, part number, notes, item group, min, max, unit of measure, ABC code, count group, lead time, and the two "no cost expected" fields. A field somebody isn't allowed to edit simply shows grey on the grid — they don't get an error message.
Two rules you cannot turn off
- Admin always keeps every action. The Admin boxes in the actions table are greyed out on purpose, so nobody can lock all admins out of the app.
- Level 3 is view only. Its boxes in the field table can't be ticked.
The Users and Settings screens are always Admin only and don't appear here at all.
Common mistakes
- Ticking a field for Level 3 and wondering why it won't save — see above.
- Expecting a change instantly on a handheld that's already sitting on a screen. Give it a minute or reload.
- Using this screen to give one person extra rights. It works on levels, not people. If one person needs more, change their level on the Users screen.
- Forgetting that the Rush handheld app sets R by itself when a tech sends a request, no matter what the "Set/clear Rush priority" row says. That row only controls people doing it by hand on the Purchasing Workbench.
