Count List — Operator Guide

A one-page printable count sheet for the SKUs somebody flagged for a count while building a buy list. It is not a screen you go looking for on the menu — you reach it from a saved buy list.

How you get one

  1. On the PO Workbench, tick the CC? box on any line whose on-hand number you don't trust, then save the buy list. Every ticked line goes on that save's count list, and the line itself goes to Pending Count.
  2. Open the saved list from Buy Lists (the saved-lists index) or straight after saving.
  3. Click the count list link on the buy list. The sheet opens as Cycle Count List with a ← Buy List #N link back.
  4. Print it. Add ?autoprint to the address and it opens the print dialog for you.

What is on the sheet

The subtitle tells you which buy list it belongs to and how many SKUs are on it. Lines are in bin sequence so you walk the racks once, not back and forth.

ColumnWhat it is
BinWhere to go. It uses the item's primary bin; if the item has no primary bin it shows the general location instead, and items with neither show (no bin) and sort to the bottom.
SKUThe item number.
DescriptionThe item's purchasing description (falls back to the item name).
RequestedThe date this count was asked for.
ClearedFills in with the date and time once that SKU has actually been counted on the handheld. Blank means nobody has entered a count for it yet.
Counted qtyBlank on purpose — this is the box you write in.

If nothing was ticked you get No SKUs were marked for a count on this save.

What to do with it

Walk the sheet, write the counts, then enter them on the handheld Cycle Count screen (Handheld Menu → Cycle Count). Counting is not done on this sheet — the sheet is paper; the count only exists once it is keyed in. From there an admin or level 1 user posts the counts to QuickBooks on the Cycle Count Review screen.

Count everything on the sheet before the buy list is released, because those quantities are what the buy quantities were calculated from.

Common mistakes

Sorting the list (2026-09-07)

Click any column heading to sort the list by that column; click it again to reverse. Blank cells always fall to the bottom. Numbers sort as numbers and dates as dates. Button and checkbox columns (Actions, Detail) don't sort. The sort works on the rows already on screen, so it never hides anything the page was showing.
