RO Import Inbox — Tips & Tricks
What this screen is for. Review incoming jobs and decide whether to accept, hold, or reject them as Requirements Orders.
What you do here
- Check Awaiting Review and its pink Error count. Click the Error count to open the imports that need attention.
- To release clean imports first, click No Errors, tick the header checkbox, then Accept selected. Only the rows shown are selected; Held imports stay parked.
- Pink Errors N badges beside each row's Status show unresolved material-line and header/import problems. Click the badge to open that import and fix them.
- Click a row or job name to open full detail and review every line before deciding.
- Use Import Manual FP or BT Order to pull in a job by FieldPulse or BuilderTrend number, then click Go.
- Use Import from Spreadsheet (drag or Browse) for a Bill of Materials saved as .xlsx or .xlsm.
- Pick the correct Bill of Materials document if a BuilderTrend job has more than one staged.
- Check the Class column before you accept. New FieldPulse imports use a confidently matched QuickBooks Customer type, mapped to the RO accounting Class. No confident match, blank type, or unmapped type defaults to Service.
- Class and Type are different: Class is Residential, Commercial, Service, or Administration; Type is Job, Stock, or Truck. The list column is Class.
- Click a row to change Class (or Type) before accepting. Your Class choice is retained; a later Check or poll will not reset it.
- Click Accept to turn the job into a real RO, or refresh an existing RO if one already exists.
- Click Hold and type a reason to park a job without creating an RO.
- Click Reject, confirm, and type a reason to discard a job permanently from Awaiting Review. You return to the Inbox list to move straight to the next import.
- Check several rows' boxes (or the header box for all shown) and click Accept selected to accept them one at a time — each becomes its own RO; any that can't be accepted yet are reported, the rest still go through.
- To close several imports without creating ROs, check them and click Reject selected. Confirm once; if reason notes are enabled, one optional note applies to the selected rows. The summary reports any row that could not be rejected.
Watch out
- A PDF BOM cannot be imported here — get a spreadsheet from engineering or key the order manually.
- An Error status row still needs fixing and re-Accepting; check the red reason text underneath.
- Accepting a new revision of the same job/BOM refreshes its RO; an Accepted Inbox copy itself cannot be accepted again.
- Once a job is Accepted or Rejected, Accept/Hold/Reject buttons no longer work on that row.
- The error count is the count of Error-status imports, not the count of individual held lines. Open the Error list to see the reason on each import.
- No Errors is not Awaiting Review minus Error. Those status groups are separate; an Awaiting Review import can still contain held material lines.
