RO Import Guide — Tips & Tricks
What this screen is for. Turn a BOM from FieldPulse, BuilderTrend, or a spreadsheet into a reviewed, linked Requirements Order.
What you do here
- Choose Import → FP #, Import → BT, or Import → Upload based on where the BOM lives.
- Most ROs now arrive by themselves: the poller stages FP jobs in the FP Status Trigger status (Pending Material today) and open BuilderTrend jobs. Use the manual routes for anything it missed.
- For FP #, type the job number and let it search job, then project, then material list. Only files with bom in the name are seen.
- For BT, the poller finds BOM files itself (Class Commercial). To import by hand, open Documents → Engineering and pick the file.
- For a spreadsheet, drop an .xlsx or .xlsm file into Upload (manual import rejects PDFs).
- On the review screen, set Source order # to FP plus job number and press Check to fill Customer, Class, Priority, Required date.
- Fix any lines on hold by correcting the SKU or quantity before accepting.
- Use the non-inventory or drop marks and the per-line × to mark lines you want excluded.
- Press Accept to finalize the RO; nothing is real until Accept is pressed.
Watch out
- Polling does NOT notice that a BOM file changed. To pull a change, import the FP # by hand; a changed BT file with the same name is never picked up.
- Polled Class comes from the QuickBooks customer type (blank or ambiguous → Service); check it before Accept.
- Removed BOM lines go on HOLD with an issue after Accept, even if already picked or ordered — look at them.
- Renaming a BOM file (like adding "-1") creates a second RO instead of updating the original, even if it's just a revision.
- Check overwrites Customer and Class from FieldPulse but only fills Priority and Required date if you left them blank.
- An unlinked RO isn't broken, but it will never auto-update or sync status/priority overnight.
- Polling reads PDFs (scanned ones are flagged PDF BOM Error); the manual FP # import still needs a spreadsheet.
