Create New Inventory Item — Tips & Tricks
What this screen is for. Create a brand-new inventory item, reserving its SKU in IM2 and creating it in QuickBooks.
What you do here
- Search Item Master first to make sure the part doesn't already exist under another name.
- Enter Item Name (must be unique) and Description — required fields.
- Fill in optional fields like UOM, Cost Ea, Preferred Vendor, Manufacturer, Item Group, Gen-Loc, Count Group as needed.
- Enter Primary/Secondary Bin, Min/Max Qty and Lead Time if known, or leave blank.
- Fix any field that turns red (e.g. Min more than Max, bad Cost or Bin format) before saving.
- Click Save item and read the confirmation message for the actual SKU assigned.
- Check the Not in QuickBooks yet list if QuickBooks refused the item, and note the reason given.
- Use Retry in QuickBooks (Admin/Level 1 only) to resend failed items later.
Watch out
- Never write down the Reserved SKU before saving — it can change if someone else saves first.
- A red QuickBooks-refused message doesn't mean nothing saved — the IM2 item and SKU still exist.
- Items stuck in Not in QuickBooks yet can't be picked or posted until fixed and retried.
- On Hand always starts at 0 here — quantity only comes in through receiving, not this screen.
