Cycle Count — Tips & Tricks
What this screen is for. Lets staff count physical inventory on a handheld and lets Level 1/Admin review and post those counts to QuickBooks.
What you do here
- Open Handheld Menu tile, tap Cycle Count, scan barcode or type SKU and tap Go.
- Check the Primary bin and Secondary bin on screen match where you're standing before counting.
- Count everything for that SKU, including the secondary bin, in whole numbers unless it's a measured item.
- Type the number in Counted quantity and tap Save count, entering 0 if the bin is empty.
- Open Count Review from the top bar (Item Master Display & Maintenance), read the totals first as a sanity check.
- Discard any bad line before it does damage; discarding is logged and the item can be recounted.
- Tick lines you accept and tap Post to send them to QuickBooks, one SKU at a time.
- Open a batch or download its spreadsheet if accounting needs proof of an adjustment.
- Use the Menu link on the handheld to return to the menu once a job is finished.
Watch out
- Counting the same item twice replaces the first count; only the latest is queued to post.
- Posted counts cannot be edited or un-posted — correct mistakes by recounting and posting again, never adjust in QuickBooks by hand.
- Discard selected is all-or-nothing: one already-posted count in the selection blocks the whole discard.
- Post to QuickBooks button is greyed out with a red bar if Settings → Allow Inventory Posting to QB is No.
