RO Maintenance & Attachments

These are the editing tools available right on a Requirements Order screen — the one you land on from Requirements Orders & Material Status, from Accept on the RO Inbox, or after saving a new RO — for anyone at Level 2 or above. Level 3 users can see everything here but can't change anything — fields show as plain text instead of boxes you can type into.

Adjusting a quantity

The Adj Quantity column is editable. Type a number (positive or negative) and click away — it saves automatically, and BOM + Adj Required updates right next to it. A note is optional: right-click the box if you want to leave one explaining why.

What the header shows

Job, BOM Name, Type, Status, Required Date, Held Lines (only when there are any), Source Ref / Rev, Source Order # (a FieldPulse number links to the job), Priority, Job Status, who created it and when, and when it was last refreshed. Priority reads R for a rush; it is set from the PO Workbench, not here.

Required Date

The header's Required Date is editable the same way — click in, change it (or clear it), click away. Leaving it blank is fine; a blank date is not treated as overdue.

Held lines

If any line on the order is on hold, a Held badge appears in the header. Click it to jump straight to the Issues screen for this RO, filtered to just this order, so you can see what needs attention. A held line never blocks the rest of the order — everything else can still be picked and ordered.

Reading and filtering the lines

The chips above the line table are All, Open only, Adjusted, Non-inventory only and Cancelled. Export CSV downloads exactly the lines you are looking at; Print prints the order without the buttons and side panels.

A line whose quantity came from a re-import shows a small "was N" marker next to the BOM Required figure — hover it for the reason. Click the ▼ at the left of a line to load its PO links, movement history and refresh history.

Deleting an order (Admin only)

An Admin sees a Delete RO button next to Print. It refuses to delete an order that has any issued material or any pick activity — that one has to be cancelled, not erased. Deleting is permanent for the order and its lines, the audit trail is kept, and the job it came from goes back into the RO Inbox as Awaiting Review so it can be re-imported cleanly.

Attachments

Two places to attach files:

The paperclip shows a count when a line already has documents. Either way, the upload box works the same: drag files onto it, or click Browse to pick them the normal way. You can drop several files at once — each shows its own progress and result. Files up to 25 MB are accepted, any file type.

To remove a file, click Remove next to it. This doesn't delete anything permanently — it just takes the file off this list; the record of it still exists.

Recording a PO you raised yourself (added 2026-09-06)

If you ran the buy report and keyed the purchase order into QuickBooks by hand, tell the RO about it so the line stops looking unordered.

  1. Open the RO and click the at the left of the line.
  2. Under PO Links, fill the short row of boxes: PO number, vendor, quantity, cost if you have it, and the delivery date the vendor gave you.
  3. Click Add PO reference. The PO appears in the list above straight away.

If you mistype something, click remove on that row and enter it again. Only PO references keyed in by hand can be removed — ones that came from a buy list release or from the overnight QuickBooks sync stay put.

You will only see those boxes on non-inventory lines. Stock SKUs work differently on purpose: the workbench adds up everything needed for a SKU across all the ROs, takes off what is on the shelf and what is already on order, and buys the difference. That purchase order restocks the warehouse rather than belonging to any one RO, so there is nothing to attach it to. The requirement is satisfied when the material is picked.

RO number, sorting and issue flags (added 2026-09-07)

About the Status column. A line's status is calculated, never typed: Open until something happens to it, then Partially Issued / Complete / Over-Issued as material is issued, or On PO / Partially Received / Received / Invoiced for a non-inventory line as its purchase order moves. Cancelled, Closed Short and HOLD override all of that. The order's own status is the roll-up: Open while every line is untouched, In Process once any line has moved, Complete when none are left open.

Class (2026-09-07)

The header now shows Class next to Type. Type is IM2's own label for the kind of RO; Class is the QuickBooks class that goes on any purchase order or posting made from this RO, and a PO cannot be raised without it.

If Class says "- none -" the box is outlined in red. Pick the right class from the list and it saves straight away. Anyone with write access can change it, and every change is recorded in the RO's audit trail.

Removing a PO reference (2026-09-07)

Any PO reference on a non-inventory line can be removed, not only ones keyed in by hand - open the line, find it under PO Links and click remove. It only unlinks the PO from that line; the purchase order itself stays in QuickBooks and has to be cancelled there if that is what you want. If the reference came from the overnight QuickBooks sync it will come back while that PO line still exists; the confirmation box tells you when that is the case. Every removal is recorded in the line's history.
